Round-the-clock calls for a criminal defense firm

An example engagement for law firms in Houston.

This is an example engagement, not a client story. It shows how we would run an audit and build for a typical firm of this kind. The research figures come from the public sources cited, and nothing here reports a specific client's results.

A small Houston criminal defense firm handling DWI, drug, and assault cases, where most new clients are family members calling within hours of an arrest.

Calls cluster at night and on weekends. One attorney carries a phone after hours, but calls to the main line still go to voicemail, and the on-call attorney only sees them in the morning.

A family that cannot reach one firm simply calls the next. Whoever answers, or calls back while the family is still deciding, has the best chance of being hired.

What the research says02

In an audit of 2,241 U.S. companies, firms that tried to contact a web lead within an hour were nearly seven times as likely to have a meaningful conversation with a decision maker as firms that waited even an hour longer, and more than 60 times as likely as firms that waited 24 hours or more.

Oldroyd, McElheran and Elkington, "The Short Life of Online Sales Leads," Harvard Business Review, March 2011↗

When a research firm contacted 500 U.S. law firms as prospective clients, only 40% answered the phone and only 33% replied to email. 48% neither answered nor called back, which left them effectively unreachable by phone.

Audit, build, measure03

What the audit checks

  • Plot inbound calls by hour and day for the last 90 days, and mark which were answered.
  • Follow every after-hours voicemail to see whether the caller was reached and whether they hired the firm.
  • Test the after-hours path from the website and the main number.
  • Review how the on-call attorney is reached and how handoffs work in the morning.
  • Rank fixes by expected return using the firm's average fee by case type.

What we build

What we measure

  • Share of after-hours calls answered or returned within 15 minutes
  • Overnight inquiries never reached
  • Retained cases that started outside business hours
  • Time from first call to signed engagement

Every measure starts from the firm's own baseline, taken during the audit, so results are compared with how the firm ran before anything changed.

Law firms

Personal injury, immigration, family, and other practices that depend on new client inquiries.

Example engagement

After-hours intake for a personal injury firm

A small personal injury practice loses callers to voicemail while attorneys are in court. The fix is instant text back, bilingual intake chat, and intake that flows into case management.

Example engagement

Bilingual consultation booking for an immigration firm

A Houston immigration practice books consultations by phone tag, mostly in Spanish, and loses time to no-shows. The fix is bilingual text back, self-booking, and reminders in the client's language.
