Intake screening for a family law firm

An example engagement for law firms in Houston.

This is an example engagement, not a client story. It shows how we would run an audit and build for a typical firm of this kind. The research figures come from the public sources cited, and nothing here reports a specific client's results.

A Houston family law firm with three attorneys and a paralegal handling divorce, custody, and modification cases, with most new matters coming from referrals and search.

Every new inquiry gets a call back from an attorney, including people outside the firm's practice areas, outside its counties, or on the other side of an existing client's case. Conflicts are sometimes found only after a long first conversation.

Callers are often upset and share sensitive details right away. The firm wants faster answers after hours, but is wary of putting that information into a chat tool it has not vetted.

What the research says02

When a research firm contacted 500 U.S. law firms as prospective clients, only 40% answered the phone and only 33% replied to email. 48% neither answered nor called back, which left them effectively unreachable by phone.

Audit, build, measure03

What the audit checks

  • Sample recent inquiries and sort them into accepted, referred out, declined, and conflicted, with time spent on each.
  • Map where the opposing party's name is first captured and when the conflict check runs.
  • Review every tool that would touch intake data for where it stores data and whether it trains on it.
  • Check after-hours coverage for calls, forms, and chat.
  • Rank fixes by attorney hours saved and by risk reduced.

What we build

What we measure

  • Attorney time spent on inquiries that are declined or conflicted
  • Share of conflicts caught before a consultation is booked
  • Time to first reply on after-hours inquiries
  • Consultations booked per month

Every measure starts from the firm's own baseline, taken during the audit, so results are compared with how the firm ran before anything changed.

Law firms

Personal injury, immigration, family, and other practices that depend on new client inquiries.

Example engagement

After-hours intake for a personal injury firm

A small personal injury practice loses callers to voicemail while attorneys are in court. The fix is instant text back, bilingual intake chat, and intake that flows into case management.

Example engagement

Bilingual consultation booking for an immigration firm

A Houston immigration practice books consultations by phone tag, mostly in Spanish, and loses time to no-shows. The fix is bilingual text back, self-booking, and reminders in the client's language.
